Printing a document just to sign it and scan it back in is a waste of paper and time. Here are three ways to add your signature to a PDF directly on screen.
The print-sign-scan cycle is obsolete
For years the standard way to sign a document you received by email was to print it, sign the paper, scan or photograph it, and email it back. Every step degrades the file, eats paper, and assumes you have a printer and scanner within reach. Signing a PDF on screen skips all of that: you place your signature exactly where it belongs and export a clean file that looks better than any scan.
There are three practical ways to do it, and the right one depends on how the signature needs to look and how much of a hurry you are in.
Method 1: Draw your signature
Drawing gives the most authentic result because it is genuinely your handwriting. Open the Sign PDF tool, choose the draw option, and sign with your mouse, trackpad, or — best of all — your finger or a stylus on a touchscreen. A phone or tablet produces a remarkably natural signature because you are writing the way you normally would.
Getting a clean drawn signature

Method 2: Type your signature

Preparing the image
Sign a blank white sheet with a dark pen, photograph it in good light, and crop close to the signature. A signature on a clean white background places most neatly. - Position it on the signature line, not floating above or overlapping the printed text.
- Size it to match — roughly the height of a line of text, not sprawling across the page.

Lock it down after signing
Once the signature is in place, export the signed PDF and open it to check everything sits correctly. Is an on-screen signature legally valid?

That said, some formal agreements require a qualified or certified digital signature with an identity check behind it — a different and more rigorous process. For the vast majority of documents most people handle — consent forms, letters, internal approvals, routine agreements — placing your signature on the PDF and sending it back is exactly what the other side expects. When a specific legal standard applies, confirm which type of signature is required before you sign.
